Insurance claims can be a daunting prospect for anyone, especially after a particularly traumatic or serious event. Global Insurance Solutions understands this, as well as the reasons why, and aim to make the claims process as fast and as trouble free as possible for you. Claims are our priority.

Below, we have some useful numbers for you to call, should you ever need additional information regarding your policy. You can also find our guided claims forms, which will help to make it much easier for you to detail with clarity your particular claim. As always, we are also committed to being personally on hand to provide you with the right advice when you need it.

What to Do When a Claim Occurs

When an incident occurs, taking the right steps early can help protect your position and support a smoother insurance claims process.

If you are a Global Insurance Solutions (GIS) client and need to make an insurance claim, contact us as soon as reasonably possible. Our team can help you understand the notification requirements under your policy and assist with the next steps.

Depending on the circumstances, you should:

  • prioritise the safety of employees, customers and other people at the premises;
  • contact emergency services where required;
  • take reasonable steps to prevent further loss or damage, where it is safe to do so;
  • photograph or record the damage before commencing non-emergency repairs;
  • preserve damaged property or evidence where practical;
  • record important details, including dates, times, locations and people involved;
  • avoid admitting liability or agreeing to settle a third-party claim without appropriate advice; and
  • notify GIS promptly so we can help you review the relevant policy and claims requirements.

For urgent situations, emergency repairs may be necessary to secure the property or prevent further damage. Where possible, retain photographs, invoices, receipts and details of any emergency work undertaken.

Our Insurance Claims Process

Insurance claims can involve insurers, loss adjusters, assessors, repairers, solicitors and other specialists. As your insurance broker, GIS can help you navigate the process and communicate with the relevant parties.

1. Notify GIS

Contact us as soon as possible after becoming aware of an incident that may result in a claim.

Even if you are unsure whether the loss will ultimately be covered, early notification can help ensure applicable reporting requirements are considered.

2. We Review the Circumstances

We will discuss what happened and review the relevant insurance policy, including applicable sections, limits, excesses, conditions and notification requirements.

The insurer ultimately determines whether a claim is covered in accordance with the policy terms and circumstances of the loss.

3. Prepare and Submit the Claim

We can help identify the information and supporting documentation likely to be required and assist with submitting the claim to the insurer.

The requirements will vary depending on the type and complexity of the claim.

4. Insurer Assessment

The insurer may appoint an assessor, loss adjuster, investigator, repairer or other specialist to assess the circumstances and extent of the loss.

GIS can assist with communication between you and the insurer throughout this process.

5. Claim Progression

Additional information, quotations, financial records or supporting evidence may be requested during the assessment.

Where we are managing the claim on your behalf, GIS can help follow up outstanding matters and keep you informed of material developments.

6. Claim Outcome

The insurer will determine the claim in accordance with the policy terms, conditions and exclusions.

Where a claim is accepted, the outcome may involve repair, replacement, reinstatement, reimbursement or another form of settlement depending on the policy and circumstances.

Information and Documents You May Need

Providing clear and complete information can help reduce unnecessary delays.

The exact documents required will depend on the type of insurance claim, but you may be asked to provide:

General claim information

  • date, time and location of the incident;
  • description of what occurred;
  • photographs or videos of damage;
  • contact details for people involved;
  • police, fire brigade or incident reports, where applicable; and
  • correspondence from third parties.

Property and equipment claims

  • purchase invoices or proof of ownership;
  • repair or replacement quotations;
  • equipment details, including make, model and serial number;
  • maintenance or service records where relevant; and
  • photographs showing the extent of damage.

Business interruption claims

  • financial statements;
  • sales records;
  • profit and loss statements;
  • budgets and forecasts;
  • payroll information; and
  • evidence of additional expenses incurred following the insured event.

Liability claims

  • correspondence or demands received from the third party;
  • incident reports;
  • photographs and CCTV footage, where available;
  • witness details; and
  • contracts or other relevant documentation.

Do not delay notifying GIS simply because you do not yet have every document available. We can help identify what information may be required as the claim progresses.

Insurance Claims FAQs

Contact Global Insurance Solutions as soon as reasonably possible after an incident. Provide the initial details of what occurred and any supporting information available. We can review the relevant policy and assist with notifying the insurer and progressing the claim.

You should generally notify us as soon as reasonably possible after becoming aware of an event that may result in a claim. Some policies contain specific notification requirements, so early contact is recommended.

Contact GIS even if you are uncertain about coverage. We can review the relevant policy and circumstances with you. The insurer will ultimately determine whether the claim is covered under the policy.

If immediate work is reasonably necessary to protect people, secure the premises or prevent further damage, take appropriate emergency action. Where possible, photograph the damage beforehand and retain invoices, receipts and evidence of the work completed. Avoid undertaking non-urgent permanent repairs before discussing the claim with GIS or the insurer.

Requirements depend on the claim. Common documents include photographs, invoices, quotations, incident reports, financial records, contracts and correspondence. GIS can help identify the documents relevant to your particular claim.

You should generally avoid admitting liability, negotiating a settlement or making promises to a third party without first seeking appropriate advice. Forward demands, allegations or correspondence relating to the incident to GIS promptly.

The insurer determines whether a claim is accepted or declined based on the circumstances of the loss and the terms, conditions, limits and exclusions of the applicable insurance policy.

There is no standard timeframe for every claim. The time required can depend on the type of loss, its complexity, availability of supporting documentation, involvement of third parties and whether assessors or other specialists are required.

As your insurance broker, GIS can assist with notifying insurers, understanding information requirements, communicating with relevant parties and helping clients navigate the claims process. The insurer remains responsible for assessing and determining coverage under the policy.
