What to Do When a Claim Occurs
When an incident occurs, taking the right steps early can help protect your position and support a smoother insurance claims process.
If you are a Global Insurance Solutions (GIS) client and need to make an insurance claim, contact us as soon as reasonably possible. Our team can help you understand the notification requirements under your policy and assist with the next steps.
Depending on the circumstances, you should:
- prioritise the safety of employees, customers and other people at the premises;
- contact emergency services where required;
- take reasonable steps to prevent further loss or damage, where it is safe to do so;
- photograph or record the damage before commencing non-emergency repairs;
- preserve damaged property or evidence where practical;
- record important details, including dates, times, locations and people involved;
- avoid admitting liability or agreeing to settle a third-party claim without appropriate advice; and
- notify GIS promptly so we can help you review the relevant policy and claims requirements.
For urgent situations, emergency repairs may be necessary to secure the property or prevent further damage. Where possible, retain photographs, invoices, receipts and details of any emergency work undertaken.
Our Insurance Claims Process
Insurance claims can involve insurers, loss adjusters, assessors, repairers, solicitors and other specialists. As your insurance broker, GIS can help you navigate the process and communicate with the relevant parties.
1. Notify GIS
Contact us as soon as possible after becoming aware of an incident that may result in a claim.
Even if you are unsure whether the loss will ultimately be covered, early notification can help ensure applicable reporting requirements are considered.
2. We Review the Circumstances
We will discuss what happened and review the relevant insurance policy, including applicable sections, limits, excesses, conditions and notification requirements.
The insurer ultimately determines whether a claim is covered in accordance with the policy terms and circumstances of the loss.
3. Prepare and Submit the Claim
We can help identify the information and supporting documentation likely to be required and assist with submitting the claim to the insurer.
The requirements will vary depending on the type and complexity of the claim.
4. Insurer Assessment
The insurer may appoint an assessor, loss adjuster, investigator, repairer or other specialist to assess the circumstances and extent of the loss.
GIS can assist with communication between you and the insurer throughout this process.
5. Claim Progression
Additional information, quotations, financial records or supporting evidence may be requested during the assessment.
Where we are managing the claim on your behalf, GIS can help follow up outstanding matters and keep you informed of material developments.
6. Claim Outcome
The insurer will determine the claim in accordance with the policy terms, conditions and exclusions.
Where a claim is accepted, the outcome may involve repair, replacement, reinstatement, reimbursement or another form of settlement depending on the policy and circumstances.
Information and Documents You May Need
Providing clear and complete information can help reduce unnecessary delays.
The exact documents required will depend on the type of insurance claim, but you may be asked to provide:

- description of what occurred;
- photographs or videos of damage;
- contact details for people involved;
